What this policy covers
This policy explains how Cylentis Pty Ltd collects, holds, uses and discloses personal information when you visit this website, make an enquiry, submit a Question Map, book a meeting or work with us.
Information we collect
We may collect your name, role, organisation, work email, phone number, enquiry details, appointment information and correspondence. Website and advertising tools may also record device, browser, page, referral, campaign and interaction information.
Please do not submit confidential records, sensitive personal information, passwords, access tokens or source documents through the Question Map form. The form is for describing the shape of an organisational question, not transferring its evidence.
Why we collect it
We use personal information to receive and respond to enquiries, assess whether Cylentis may be a fit, arrange meetings, provide services, secure and improve the website, measure advertising performance and meet legal or business-record obligations.
Responding to an enquiry does not add you to ongoing marketing. Optional marketing consent is separate and is never preselected.
How it is collected and held
Information may be provided directly by you through Squarespace forms, email and Google Calendar. Cylentis may also receive website and campaign information through Squarespace analytics and Meta business tools.
These providers may process or store information outside Australia, including in the United States and other locations described in their current privacy documentation. We use access controls and provider security features appropriate to the information involved.
Disclosure
We disclose information only where needed to operate the website, deliver communications and scheduling, provide agreed services, obtain professional advice, comply with law or protect legitimate rights. Current website enquiry providers include Squarespace, Google and Meta. We do not sell personal information.
Retention
We keep enquiry and client information only for as long as reasonably needed for the purpose collected, follow-up, security, dispute handling and applicable legal or record-keeping obligations. Information that is no longer required is deleted or de-identified where lawful and practicable.
Access, correction and complaints
You can ask to access or correct personal information we hold about you, withdraw optional marketing consent, or raise a privacy complaint by emailing aaron@cylentis.com. We will acknowledge and address requests within a reasonable period. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner.
Changes
We will update this policy when our information-handling practices or providers materially change. The date above identifies the current version.
